What recruitment challenge was the reason your HR team decided to use Voicebot?

At Enel-med, we recruit front desk and call center employees nationwide. The challenge for our team was the dispersed structure and the number of candidates applying for these positions. We decided to streamline the process with the use of Voicebot and shorten it by a preliminary phone interview, all the while maintaining the existing quality of the interviews. In addition, Voicebot guaranteed the chance to speak with each candidate who applied to our company.

What was the key factor that made you choose Voicebot for this type of recruitment? Were you convinced of the efficiency of this tool from the beginning?

Our goal was to shorten the recruitment process with a phone interview, and to provide each candidate with a virtual assistant who creates a sense of comfort for the interviewee by responding immediately to the application. Voicebot conducts phone interviews with each candidate while giving basic information on the position without involving the recruiter in the process. We feel this is an invaluable advantage of this type of solution. The candidate feels taken care of, whilst we gather the necessary information for further evaluation.

Have you had concerns before starting the project with Voicebot? Were they confirmed during the implementation of operations, or was it the opposite?

We had been thinking about such a solution for a long time, however, the tools available on the market did not quite meet our expectations. Apifonica's offer fit our needs and allowed us to achieve our goals.

How did you go about implementing Voicebot into the project? Was it time-consuming and what kind of effort on your part was required? How was Apifonica's support in this regard?

Due to the scattered recruitment, the number of incoming resumes and active processes at one time - it was a challenging task for us. On top of that, we were dependent on maintaining already developed solutions from eRecruiter, e.g. multirecruitment. Bartek Malinowski from Apifonica was an invaluable support for our company. Together we tried to find solutions to the obstacles that appeared along the way and develop tailored solutions for Enel-Med. The implementation of Voicebot, from the moment we started discussions to the first tests, took 3 months.

The implementation process consisted of five steps

  • 2. Speech recordings
  • 3. integration with eRecruiter system
  • 4. 14-day free trial
  • 5. Start of commercial use

In this case, the implementation took a relatively long time due to the unusual integration, tied to the eRecruiter system's multirecruitment function. Furthermore, we designed and implemented two Voicebots for a number of various recruitment projects.

How do you evaluate Voicebot's integration with the eRecruiter system?

Voicebot has a great synchronization with eRecruiter. Candidates apply using a form from within the ad, Voicebot calls the candidate and collects all the data of interest. Next, the answers provided go to eRecruiter, specifically to the candidate's account as a note. This way we have all the necessary information in one place.

What outcomes do you see or expect? What is the biggest benefit for you?

The biggest benefit for us is the shortening of the recruitment process. Based on the information collected during the Voicebot interview, recruiters select the candidates they want to interview and invite them to a follow-up meeting right away. In the entire recruitment process, the aspect of providing comfort to candidates who are waiting for contact as well as in-depth information on the desired job is insanely important. Voicebot is a great help in taking care of this area and seals the recruitment process.

What would you advise recruiters who, like you, are facing the challenge of mass recruitment and are hesitant whether Voicebot is a good solution for them?
